Privacy & cookies

Wok Palace takes your privacy very seriously. This statement explains which personal data we process when you visit our website, book a table, order takeaway, apply for a job or visit our restaurant, why we do so and what your rights are. We process your data in accordance with the General Data Protection Regulation (GDPR). This translation is provided for information only; in case of any discrepancy, the Dutch version prevails.

1. Who is responsible?

2. Which data do we process and why?

Reservations. Name, phone number, email address, date, time, number of people and any comments you provide yourself (for example a high chair or an allergy). We use this data to reserve your table and to contact you about your reservation. Legal basis: performance of the contract. We only process information about allergies with your consent and solely to prepare your meal safely.

Takeaway orders. Name, phone number, email address, your order and the collection time. Online payments are processed by an authorised payment service provider; we do not receive your full card details. Legal basis: performance of the contract and our statutory accounting obligations.

Contact. When you email us, call us or send us a message via WhatsApp, we use the data you provide to answer your question. Legal basis: our legitimate interest in answering guests’ questions.

Job applications. Your contact details, CV and cover letter, to assess your application. Legal basis: steps taken prior to a possible employment contract.

Games on the website. To appear on the scoreboard, we only ask for a name; a nickname is fine too. Winners receive a code to show in the restaurant. Legal basis: your consent.

CCTV. In the restaurant we use cameras for the safety of guests and staff and to prevent theft and vandalism, in accordance with the Belgian Camera Act. Legal basis: our legitimate interest.

Website visits. Technical data such as IP address, browser, device and pages visited, to make the website work, keep it secure and keep general visitor statistics (for example how often a page is viewed). Legal basis: our legitimate interest.

3. Who do we share your data with?

We never sell your data. We work with service providers that process your data only on our behalf: Wix.com (website, hosting, takeaway orders and payments), Zenchef (online reservations), Google (maps and fonts) and, if you contact us via WhatsApp, Meta. Some of these parties may process data outside the European Economic Area. In that case this is done with appropriate safeguards, such as the European Commission’s standard contractual clauses. Apart from that, we only pass on data where the law requires us to, for example to the police or judicial authorities.

4. How long do we keep your data?

No longer than necessary for the purpose for which we collected it. We keep reservation and order data for a maximum of two years after your visit or order. We keep invoices and other accounting records for as long as the law requires. Camera footage is kept for a maximum of one month, unless it is needed as evidence of an incident. We keep job applications for a maximum of six months after the selection process ends, or longer if you consent to this.

5. Cookies

Necessary cookies make sure the website works and stays secure, for example for securing forms and for the shopping cart for takeaway orders. Without these cookies the website does not work, so they are always set.

External services. Zenchef’s reservation module and the embedded map may set their own cookies when you use them. The privacy policies of those services apply to them.

Statistics. Our website provider Wix keeps general visitor statistics so that we can see which pages are viewed. We do not use Google Analytics or any third-party advertising or tracking cookies.

You can view, delete or block cookies at any time in your browser settings.

6. Your rights

You have the right to access your data, to have it corrected or erased, to restrict its processing, to data portability and to object to its processing. You can always withdraw consent you have given. Send your request to info@wokpalace.be; we will reply within one month. To prevent misuse, we may ask you to prove your identity.

7. Security

We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access. Only staff who need the data for their work have access to it.
